The role:

We are currently looking for a Receptionist/Office Administrator to assist in the day-to-day running of our Chelmsford Office within our Land Management team. 

The role is Monday to Friday 9.00 to 5.30. Please note training will be provided where required.


  • Reception duties, including answering calls and greeting clients
  • Answering general emails and postal correspondence
  • Process invoices for purchase order numbers on internal software
  • Manage the file archive storage and records
  • Manage health and safety as well as fire regulations within the office
  • Order office supplies
  • Work closely with the handyman regarding general property and garden maintenance
  • Liaise with various building service suppliers (e.g. fire alarm, window cleaners, air con etc.)
  • Chase unpaid invoices for all office related bills
  • Help organise the Summer and Christmas staff parties
  • Formatting, proof reading and binding documents
  • Work overflow assistance/holiday/sickness cover for secretaries in other departments
  • Raising fees (Accounts)
  • Sending out rent demands once a fortnight (folding and franking between 80-200 letters)
  • Sort post and scan Bank statements to Accounts 

Person specification

  • Ideally will have previous experience in a similar role
  • Good communication skills – both verbal and written
  • Ability to establish and maintain effective working relationships with colleagues at all levels
  • Pro-active with exceptional organisational and co-ordination skills
  • Professional telephone manner
  • IT literate, Microsoft Office – Word (Intermediate), Excel (Basic), PowerPoint (Basic), Outlook (Intermediate)
  • Ability to prioritise and perform under pressure
  • Positive attitude, reliable and dependable
